POLICY:

The Act requires that students maintain a minimum of a 65% average to remain eligible for the full grant. Failure to do so reduces their entitlement to 60% of the full entitlement until they attain 65% averages in subsequent semesters, quarters or years.

The grading systems of individual institutions varies greatly and generally follow a grade point system (4.0, 9.0, etc.) rather than a percentage system. Different bench marks are used by institutions to determine a 65% average.

When students once again attain a 65% average, Officers are able to increase the amount of grant from 60% to 100% of allowable funding.

GUIDELINES:

Interpretation of Grading Systems

  1. Institutional provided grade equivalencies where a precise point of equivalency to 65% on a percentage (0-100) grading system with a passing grade of 50% will be used.
  2. Where an institution cannot provide a 65% equivalency the following threshold grades will be used:
    • 4 pt. grade system    2.6
    • 9 pt. grade system    5.9

Upgrade to 100% Funding Entitlement

Where an Officer has approved an application of a student who is eligible for 60% of the full funding entitlement, the Officer will advise the student that once he/she once again obtains a 65% average, he/she will be entitled to receive 100% of future disbursements of the approved application.

The student must submit his/her most recent official transcript for a quarter or semester prior to the completion of any subsequent quarter or semester. For example, a student who has received 60% of funding entitlement for the September to December semester must submit an official transcript prior to the completion of their January to April semester in order to be considered.

Upon receipt of the most recent full-time post secondary official transcript for a quarter, semester, or academic year that confirms the student has attained a 65% average, the officer will adjust that student’s funding entitlement to 100%.

APPEALS:

The Students Financial Assistance Committee will hear all appeals that do not conform with this policy.
